Routine work is performed independently; special assignments may be performed under the general supervision of Director of Communications and the Assistant Director of Communications; however, primary supervision will be the responsibility of the Director.
The successful candidate must have the ability to achieve Passport certification with the U.
S.
State Department within 30 days of employment with the City and serve as a backup Passport Agent as necessary.
ESSENTIAL DUTIES & RESPONSIBILITIES include the following.
Other duties may be assigned.
Receives telephone calls and visitors from the public and provides routine information on services provided by the Department.
Assists members of the public with questions asked from the lobby kiosks.
Maintains the department calendars and schedules, to include employee work anniversaries and birthdays for department recognition.
Maintains records of Department expenditures and processes invoices for payment.
Keeps track of budget line items and suggests actions to prevent overages.
Prepares and submits Department payroll data when requested by Director or Assistant Director.
Performs general office duties such as, but not limited to, purchasing office supplies, typing, filing, data entry and research, maintaining the fixed asset database and department archive schedules.
Staffs the front desk during the receptionist breaks, including daily lunch break.
Performs other tasks and duties as assigned by the Director or Assistant Director.
SUPERVISORY RESPONSIBILITIES - Employees in this position have no supervisory duties.
MINIMUM QUALIFICATIONS - The minimum eligibility requirements for employees in this position are as follows:
EDUCATION and/or EXPERIENCE - High School diploma or GED from an accredited school, some college preferred, and a minimum of three years of progressively responsible administrative experience, including two years with the City of Laurel or similar experience.
CERTIFICATES, LICENSES, REGISTRATIONS - Applicants must have National Incident Management System (NIMS) certification or have the ability to acquire certification within 90 days of start of employment.
Computer Skills - Ability to operate a computer terminal or Personal Computer.
Proficient in the use of typical word processing software such as Microsoft Word and able to use spreadsheet software such as Microsoft Excel.
Able to learn and apply other office software and automated office procedures.
